Rental Condition Report
A timestamped record of your rental: pickup and return photos and the complete booking message thread, compiled into one report. One record, shared by both sides.
$6 per booking · Optional · The owner or the renter can buy it
Why it's worth having
Most rental disagreements come down to one question: what condition was the tool in, and when? The Rental Condition Report gives both of you the same record to look at, built from what was uploaded and sent on Rentoolz, with the times our servers received it.
For owners
- Photos of the condition your tool left in, time-stamped at pickup
- Photos of the condition it came back in, time-stamped at return
- Every message about the rental in one place, including anything you agreed about use, fuel, cleaning, or return time
For renters
- A record of scratches, wear, or damage that was already there when you picked it up
- A record of when you returned it and the condition it was in
- The full conversation, so nothing depends on memory
What's in the report
- Booking details: the item, both parties' account names, and the rental period
- Pickup and return photos, each stamped with the time Rentoolz's servers received it — not the time on the device that took it
- The booking's message thread on Rentoolz, with the time of every message
- Owner-specific instructions or agreements, if any
- The owner's rental rules, exactly as the renter saw them at booking
- Each party's recorded agreement: account name, email, date and time, and IP address
How it works
- The owner accepts a rental request.
- Either of you buys the report for that booking. Payment is handled by Stripe; Rentoolz never sees your full card number. Once one of you buys it, it covers the booking for both of you.
- Buying the report turns on pickup and return photo uploads for that booking.
- Upload photos of the tool at pickup, and again at return. Keep your conversation in Rentoolz messages.
- You can both download the report from the booking page.
Refunds
Whoever bought the report gets a full refund if:
- the booking is cancelled after the report was bought, or
- we can't generate your report because of a technical problem on our end.
Otherwise, the purchase is final. Rentoolz covers any card processing cost on a refund. How long the refund takes to reach you depends on your card issuer.
What the report is, and what it isn't
The report is a faithful compilation of what was uploaded and sent on Rentoolz for a booking, with the times we received it. We don't check what a photo shows, whether a message is true, or the actual condition of any tool. The report is:
- not a decision about who's at fault, who's responsible, or what a loss is worth
- not insurance, and not a guarantee of any outcome, payment, or compensation
- not a rental agreement, and it doesn't create one between you
- not legal advice
Rentoolz doesn't review claims or settle disagreements between owners and renters. Each of you is free to use the report in any conversation, claim, or proceeding with the other party.
Tips for a better record
- Photograph every side of the tool, plus close-ups of any existing wear, the serial number, and any accessories, cases, or attachments.
- For fuel-powered tools, include the fuel level.
- Take return photos at the handoff, with the other person there if you can.
- Keep all rental conversation in Rentoolz messages. Texts, calls, and emails aren't captured in the booking record or the report.
- Photos must show the tool accurately. Don't edit them in a way that changes how it looks.
How long records are kept
Booking records, photos, messages, and reports are kept for three years after the rental period ends, and may be deleted after that. Download a copy of your report if you'll need it longer.
Common questions
Do I have to buy it?
No. It's optional. You never need it to list, request, book, or rent a tool.
Who can buy it?
The owner or the renter of an accepted booking. One purchase covers the booking for both of you.
Does Rentoolz decide who's right?
No. Rentoolz isn't a party to your rental. We don't review claims, decide fault, or collect money for either side.
Is this insurance?
No. Rentoolz isn't an insurer. Owners are responsible for insuring their own tools, and renters for their own liability.
Does the report include a rental agreement?
The report can include owner-specific instructions or agreements, if any — but it isn't itself a legal rental agreement, and Rentoolz doesn't provide, review, or guarantee one. If you want formal written terms for your rentals, see our Rental Agreement Guide.
Does Rentoolz take a cut of the rental?
No. Rentoolz charges no commission, booking fee, service fee, or listing fee, and takes no share of the rental price. Rental payments are arranged directly between the owner and the renter, outside Rentoolz.
Ready when you are
You'll find the report on the booking page once a request is accepted.
